SecureMFP by Botdoc is the scan-to-email replacement for the multi-function printers (MFPs) your dealership already has. Every credit application, driver's license copy, repair order, deal jacket, warranty form, parts invoice, and HR document that gets scanned at a dealership MFP runs through the same default workflow: scan toa mailbox, sit in inboxes and archives for years, exposed in any future breach or audit. SecureMFP replaces that workflow at the device, without changing the device.

How the product actually works.

The MFP scans like always. SecureMFP intercepts the scan-to-email step and routes the document through Botdoc's patented Secure Digital Transport (SDT) Engine. The recipient gets an encrypted secure-link, not an email attachment. The dealership keeps the same scan button, the same fleet, the same user habits. No new software, no hardware swap, no copier replacement.

Setup is five minutes per device. Brand-agnostic across HP, Xerox, Ricoh, Konica Minolta, Canon, Lexmark, Sharp, Kyocera, Brother, and Toshiba fleets.

What gets eliminated, automatically:

  1. The unencrypted mailbox copy. Default scan-to-email lands a document in an inbox, then a journal, then an archive, then a backup. Every copy is discoverable, breach-exposable, audit-relevant. SecureMFP routes around the mailbox entirely.
  2. The recipient login problem. The recipient does not need a Botdoc account. They click an encrypted link, authenticate at pickup, and access the document. No portal sign-up, no password reset, no IT ticket.
  3. The chain-of-custody gap. Every transmission produces a per-document access log: who received it, when, from where, and whether anyone else has touched the record. SMTP cannot produce that log. The next DMV exam, captive lender audit, or FTC inquiry sees one system.

Compliance posture protected:

The FTC Safeguards Rule (16 CFR Part 314), updated December 2022 and enforced June 2023, requires encryption in transit, multi-factor authentication, and documented access controls—none of which are met by default dealership MFP scan-to-email. SecureMFP closes these gaps by encrypting at the device, generating access logs in transit, and executing workflows within a single auditable system. The same model applies to GLBA, HIPAA (for service departments handling medical workflows), and FERPA (for dealership training programs).
